Vasana Packaging Guidelines
These guidelines set the packaging standards you must follow for all products shipped through the Vasana marketplace. They cover internal packaging (product protection), external packaging (shipping), labelling, and sustainable packaging practices.
Compliance with these guidelines is mandatory. Non-compliance may result in the logistics partner rejecting your shipment at pickup, and penalties under the Seller Operational Policy.
General Requirements
Durability: All packaging materials must be sturdy enough to withstand handling, transit, and varying environmental conditions (temperature, humidity) to protect the product from damage.
Product fit: Packaging must be appropriately sized for the product to minimise movement and potential damage during transit. Use void fillers where necessary — crumpled paper, biodegradable packing peanuts, or air bags.
Cleanliness: All packaging materials, both internal and external, must be clean, free from dust, debris, odours, and any previous shipping labels or markings. Do not reuse packaging that still carries old labels or stamps.
Tamper-evident: For sensitive products (especially Personal Essentials), packaging must incorporate tamper-evident seals or features where appropriate, so the customer can verify the product has not been opened or altered in transit.
Internal Packaging — Product Protection
You are responsible for the internal packaging of your product. The product's primary packaging — box, tube, bottle, jar, case, paper wrapping, or garment bag — must be intact, sealed (if applicable), and in pristine condition.
Cushioning: Products must be adequately cushioned to prevent impact damage. Foam inserts or bubble wrap can be used, but we recommend sustainable alternatives: crumpled kraft paper, biodegradable packing peanuts, or similar materials. Minimise plastic use where possible.
Leakage prevention (liquids and gels): Liquids, gels, and semi-solids (especially Personal Essentials) must be double-bagged or sealed in waterproof containers to prevent leakage. Each item must be individually wrapped to prevent contamination.
Fragile items:Fragile items (ceramics, glassware, delicate decorative items) must be individually wrapped, cushioned extensively, and marked "FRAGILE" clearly on both the internal and external packaging.
Apparel and textiles: Apparel and other textile products must be neatly folded, placed in clear garment bags or primary packaging material, and sealed to protect against dust, moisture, and odours.
External Packaging — Shipping
You must use the shipping box, mailer bags, or packaging material provided by Vasana. If Vasana-provided packaging is not available, use new, sturdy corrugated cardboard boxes or durable mailer bags appropriate for the product's weight and size.
Material: Use new, undamaged packaging. Do not reuse damaged or flimsy boxes.
Sealing: All seams must be securely sealed with strong packing tape — minimum 3 strips on top and bottom. For mailer bags, ensure the self-adhesive strip is firmly sealed.
Labelling: Attach all labels as instructed by Vasana to the external packaging for logistics. Details are in the Labelling Requirements section below.
Branding on external packaging: The outer packaging should primarily be neutral or reflect Vasana branding (when Vasana-provided packaging is used). Do not prominently display your direct-to-consumer branding on the outer shipping packaging. Your brand identity is visible on the product and its primary packaging inside the box — not on the shipping layer.
Labelling Requirements
Shipping label: Vasana provides a pre-generated shipping label via email or the Vendor Portal. You must affix this label securely to the largest side of the package, ensuring it is flat, visible, and scannable. Do not cover any barcodes.
Invoice inside the package: A GST-compliant invoice from you, reflecting the product(s) and customer details, must be placed inside the internal package with every order.
Product labels:All individual products must retain their original manufacturer's labels, including: product name, ingredients or materials, manufacturing date, expiry date (especially for Personal Essential products), batch number, net quantity, MRP (maximum retail price), manufacturer or packer details, consumer care contact, and any warning labels or usage instructions required by applicable law.
BIS mark: For products falling under BIS mandatory certification, the BIS standard mark must be clearly visible on the product and/or its primary packaging.
Fragile / handle with care: Mark packages appropriately if they contain fragile items as described in the Internal Packaging section.
Sustainable Packaging
Vasana is a sustainability-first marketplace. Your packaging choices should reflect this commitment.
- Minimise single-use plastic. Where plastic is necessary, use recyclable or recycled-content plastics where feasible.
- Prioritise sustainable materials. Use biodegradable, compostable, or easily recyclable packaging materials — paper, cardboard, corn-starch-based alternatives — for void fills and cushioning.
- Extended Producer Responsibility (EPR). You acknowledge your responsibility for managing post-consumer waste of your packaging as per applicable EPR guidelines under the Environment (Protection) Act, 1986 and the Plastic Waste Management Rules. You must provide necessary declarations or certifications to Vasana upon request regarding your EPR compliance.
- Innovation welcome. Vasana encourages you to explore and implement innovative, eco-friendly packaging solutions. If you have a new sustainable packaging approach, propose it to Vasana for review and approval.
Audit and Compliance
Vasana and its logistics partners reserve the right to inspect your packaging at the time of pickup to ensure compliance with these guidelines. If your packaging does not meet the standards described here, the logistics partner may reject the pickup. Repeated non-compliance triggers the penalty framework in the Seller Operational Policy.
Changes to These Guidelines
Vasana may update these guidelines from time to time. Changes will be communicated via the Vendor Portal with prior notice. The current version is always available on this page.
